This is an exciting opportunity to contribute to the efficient coordination of our flight operations while supporting a high-performing and safety-focused operation.
Reporting directly to the Crew Resource Manager or delegate, the Crew Scheduling Supervisor acts as a lead for the Crew Scheduling team and serves as the primary crew planner for the operation. Working closely with the Flight Operations department and Director of Maintenance, this role is responsible for supporting effective crew resource management through the analysis of future flight schedules and the development of staffing recommendations to meet operational requirements.
Job ResponsibilitiesCrew Scheduling and Coordination Support:
Participate in and support the supervision and management of the crew scheduling team to ensure that crew members are assigned to flights per the flight schedule, within legal duty time limitations, and in compliance with all regulations and company policies.
Help coordinate crew pairings, ensuring adequate rest periods and managing any last-minute scheduling changes.
Help monitor and resolve scheduling conflicts or issues, such as crew shortages, training requirements, or sickness, ensuring smooth operational continuity.
Manage pilot vacation requests and ensure that vacations are scheduled in a manner that does not disrupt flight operations
Participate in creating and administering monthly Crew Scheduling Department rostering and
Help oversee hotel requirements and act as a company liaison with the service providers as required
Help oversee the completion and maintenance pilot travel, hotel, and simulator session timetables, ensuring that crew members have up-to-date travel information
Handle daily crew scheduling tasks, including hotel and flight cancellation updates, and merlot database maintenance
Team Leadership
Act as a team lead for the crew scheduling department, providing training, guidance, coaching, and support to the crew schedulers by ensuring adherence to company policies, regulatory requirements, and standard operating procedures
Provide leadership, training, and mentorship to the crew scheduling team, ensuring high levels of performance and efficiency.
Help assign daily tasks, monitor productivity, and evaluate performance to ensure crew scheduling operations are executed with precision.
Foster a collaborative and positive work environment while addressing any performance or operational issues promptly.
Crew Planning Support
Participate in and support all crew planning, rostering and scheduling activities. Develop and maintain crew rosters
that meet operational needs, ensuring that all flights are properly staffed with qualified pilots, flight attendants, and other necessary crew members.
Work closely with the Chief Pilot, Flight Attendant Manager, and Assistant SOCC Manager forecast crew
requirements based on projected flight operations.
Help optimize crew resources to ensure efficient coverage of flights, considering factors such as crew qualifications and rest
requirements. Optimize crew utilization, ensuring the most efficient use of available crew members and minimizing costs associated with overtime or idle time.
Support the development and maintenance pairings of crew members to ensure efficient utilization of available resources
Compliance and Reporting Support
Help maintain accurate records of crew duty hours, absences, and other relevant data.
Assist in generating reports related to crew performance, scheduling efficiency, productivity and regulatory compliance for upper management review.
Help ensure compliance with airline regulations and Company policies.
Assist in ensuring that all pilots and flight attendants possess the necessary qualifications and certifications, such as BARs, Contrail, Gravel, Line Indoctrination Captain, etc.
Participate in the maintenance and updating of the pilot hours spreadsheets to ensure accurate records of duty and rest hours, adhering to regulatory requirements.
Help maintain and update the pilot seniority list, reflecting changes in seniority and status
Help manage a phone list of all pilots and flight attendants for efficient communication and emergency contact purposes.
Assist in the management of the pilot and flight attendant roster bid process, including collecting bids and scheduling according to preferences and contractual agreements.
Coordinate and review with the Finance department regarding projections and compare past performance.
Help Oversee the provision of accurate and timely crew pay information, providing reconciliation, support and evidence for any matters.
Monitor and conduct weekly legality checks.
Operational Support
Help perform “day of” operational support to coordinate crew movement and staffing.
Collaborate with other operational teams such as flight operations, maintenance, and airport services to ensure crew availability and
readiness.
Support the management and communication of any disruptions, cancellations, or delays that may affect crew assignments,
ensuring prompt reassignments or adjustments.
Act as a point of escalation for scheduling problems or emergencies, resolving issues swiftly and professionally, including
last-minute crew substitutions, unforeseen operational demands, and other challenges.
Proactively address crew-related concerns to minimize disruptions to the flight schedule
Help maintain effective communication with pilots, flight attendants, and other departments as required.
Help liaise with the Director of Maintenance to incorporate maintenance requirements into crew scheduling plans that align
with aircraft maintenance schedules and minimize disruptions to flight operations.
Flight Operations Training Support
Coordinate the allocation of training sessions for pilots and flight attendants, ensuring that training requirements
are met and scheduled effectively.
Oversee all aspects of simulator training setup, including initiating TSA approval processes, fingerprinting, and
follow-up until final acceptance from the TSA is obtained.
Safety and Continuous Improvement
Ensure safety, security, quality and risk management policies and related applications are adequately implemented,
monitored and the airline operates within a safe environment at all times.
Comply with all SMS and safety policies, processes and standards.
Continuously evaluate scheduling practices and recommend improvements to increase efficiency, reduce costs,
and enhance crew satisfaction.
Stay current with industry trends, regulations, and best practices, implementing relevant changes in scheduling practices.
Lead efforts to continuously enhance and optimize the systems used in crew scheduling, resource allocation, and optimization by identifying areas for improvement, and implement solutions to streamline crew management processes.
Support
QualificationsMinimum of 3 - 5 years of industry-related work experience in crew scheduling, aviation operations, or a related field.
Minimum 2 years’ experience in a supervisory or leadership role in a dynamic work environment.
Proven experience in managing complex schedules, logistics, and handling last-minute changes.
Expert Knowledge of Canadian Air Regulations particularly as they relate to flight crew duty time is required.
Knowledge of the Merlot crew management software, or similar, is considered an asset.
Excellent communication and interpersonal skills.
Strong analytical and problem-solving skills, with the ability to make data-driven decisions
Demonstrated ability to work collaboratively with team members in a demanding, high-stress environment.
Excellent Microsoft Office skills (Excel, Word, PowerPoint).
Recognized ability to work under pressure, handle stressful situations and maintain flexibility.
Able to influence, convince and create mutually acceptable solutions in the context of conflicts.
Must be a quick thinker, with the ability to organize and prioritize tasks in a fast-paced, operational environment, with high tolerance for change.
Ability to work extended hours and weekends, and travel for business 20 of the time, when required.
